Minutes of the January 19, 2016 meeting.
Meeting opened at 6:32 pm.
Present were: Rebecca Cook, Jean Davis, Ennis Duling, Nancy Luzer, Jean Roberts and Bruce Williams.
The October minutes were read and accepted.
In old news, Santa brought in 168 people. The program of Llama Llama brought in 60, even though it was the first day of really bad weather this winter.
This year we will celebrate “Take your child to the library” for a week starting February 6 and ending February 12. There will be prizes, games and a big drawing at the end of the week. On Tuesday, February 9, we will have a Mardi Gras celebration which will include a talk by Jane Ramos, Louisiana native and Killington Librarian, to learn about the meaning and customs of Mardi Gras and for some Cajun storytelling.
Rebecca passed out the General account. The books and binding line was entered incorrectly, so monies remaining amount is wrong. Also the annual equipment line is incorrect as Susie had the wrong figure for the initial budget allotment. Rebecca will correct this.
In special accounts all looked fine. We received $5000 from the Maslack foundation for educational programming. Rebecca is looking for ideas.
Statistics showed that everything is up, including patron registrations. Patron visits per week holds steady.
The Cultural Facilities folk, whose grant we were awarded for our new heating and cooling system, have invited us to Montpelier to be present when they announce the grant recipients. We have regretfully declined the invitation.
USDA has the last of our papers. Ralph is confident that we will get the ok to put out to bid very soon. Thankfully we do not have to have the second bathroom. This gives office and storage space back that are badly needed.
The server that died was replaced with one put together by Vinnie. A discussion about replacing with a new server, or going to the web based form of Mandarin (which would negate the need for another server) took place. Nancy made a motion to update our M3 system to M5—the web based system. This was seconded by Jean D. All were in favor. With all our information to be stored in the cloud, the staff will also be freed from regular backing up of the day’s transactions. We also will not need to replace the server. Vinnie will help with the transition.
The indoor security cameras have been installed. They are temporarily installed so that they can be repositioned once construction is finished. The outdoor ones are backordered.
A motion was made by Nancy, seconded by Jean D, to withdraw into Executive Session to discuss a highly sensitive issue. All were in favor.
Executive session began at 7:14 pm.
Returned to regular session at 7:31 pm.
Book sorting will begin in February, once Rebecca has the upstairs organized. It is coming along very nicely.
Jean D made a motion to adjourn, seconded by Nancy, at 7:32. We were all in favor.
